Privacy notice for uploading videos

This privacy notice explains how Cottsway Housing Association Limited ("Cottsway") will use the video you submit.

For the purposes of the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR), Cottsway Housing Association Limited is the data controller of the personal information you provide to us.

The video provided by yourself will help us understand your views and experiences and inform decision-making, improve our services, support staff training, and ensure we continue to meet the needs of our customers.

Your video will be used for internal purposes only and will remain confidential within Cottsway.

It will be viewed by relevant members of staff and presented to Cottsway's Board Members.

If we would like to use your video more widely, such as in promotional materials, publications, on our website, or social media channels, we will contact you separately and ask for your explicit consent.

Please note: Videos submitted must not include anyone under the age of 18. If a person under the age of 18 is visible or identifiable in a video, the video cannot be used and will be deleted. Please ensure that only adults who have provided their consent appear in your video.

Under data protection legislation, we must have a lawful basis for processing your personal data.

The lawful basis for collecting and using your video is your consent. By uploading your video, you are giving your consent for Cottsway to use it in the ways outlined above.

You may withdraw your consent at any time. However, this will not affect any processing carried out before consent was withdrawn.

Your feedback video will be stored securely on Cottsway's computer systems and processed in accordance with UK data protection legislation.

Your video will be retained for 12 months, after which it will be securely deleted.

Access to your information will be restricted to relevant members of staff who require it for the purposes described above. All staff are subject to confidentiality obligations.
